Project Scope

The goals of the biweekly CUTR Transportation Webcast series are:

  • To increase the knowledge of transportation professionals and policymakers in Florida, the U.S. and beyond by sharing the latest findings of transportation research.
  • To increase the reach of technology transfer, especially to those transportation professionals who are unable to travel to state and national conferences, due to time and cost constraints.
  • To encourage discussion among participants and receive input on subjects requiring future research.

Tasks/Deliverables

Task 1: Webinar Coordination and Planning

  • Identify dates for webinar series. Over the calendar year, we will hold 15 to 20 webinars generally every other week.
  • Solicit topic submissions for the webinar series (work with both internal and external clients and partners)
  • Schedule topics and presenters, based on availability – send necessary calendar appointments
  • The following items are collected per webinar and posted to the website with an add to calendar file:
    • Title
    • Description
    • Biography(ies) for all speakers
    • High resolution headshots
  • Effectively promote each session
    • Website post
    • Facebook post/event
    • Monthly CUTR Transportation Webcast eNewsletter, includes
      • Lists upcoming webinars
      • Contains links to previously recorded webinars
    • As needed, coordinate an orientation/rehearsal/planning session for each webinar presenter

Task 2: Delivery of Content

  • The following items are required to be submitted by the presenter prior to delivery (ideally, 72 hours in advance)
    • Final PowerPoint Presentation
    • 3 – 4 follow-up questions while we wait for attendees’ questions to be submitted online
  • Uploaded the following items to the webinar software
    • Unless requested by presenter otherwise, a PDF handout of the slides will be made available for downloading by the attendees
    • Final PowerPoint Presentation
  • Moderate each webinar, as needed
  • Record the audio and PowerPoint presentation component of each webcast

Task 3: Post Webinar Activities

  • Compile session evaluations, review evaluations and recommend improvements based on recommendations
  • Review each webinar session evaluation for recommended session topics or speakers
  • Update each website webinar post with webinar recording and link to evaluation
  • Submit total contact hours for webinar
  • Add attendees to CUTR mailing list for future announcements, etc.
